The following is a brief description of the services we offer:

   Administrative Management

  • Guide and advise the Board and Association on known policy issues pertaining to the  Association documents and governmental statutes
  • Assist the Board in enforcing Association rules and regulations, sending letters or taking steps as the Board directs
  • Attend monthly meetings with Board of Directors
  • Attend Annual Association Meeting
  • Take and prepare minutes for any or all Association meetings
  • Collect all mail for Association
  • Compile and send out mailings
  • Maintain Association official records in accordance with legal requirements
  • Assist in preparing and filing of liens
  • Assist with insurance claims and issues
  • Monitor and report all violations of Association documents and take steps Board deems necessary
  • Compile and send out all state required notices
  • Oversee Association's office personnel

   Financial Management

  • Attend monthly meetings with Association’s Board of Directors to address the Board’s  financial issues
  • Attend Annual Association Meeting  
  • Collect assessments and mail out late notices.  Delinquencies will be tracked on our QuickBooks Software and given to Board of Directors
  • Deposit assessments and all incoming checks into local bank account
  • Monitor and validate invoices sent to the Association for accuracy
  • Pay all bills and perform all check writing for Association
  • Process all payroll for all in house employees
  • Meet weekly with Treasurer or financial designee
  • Unlimited telephone conferences and e-mail correspondence with Association’s Board of Directors and owners regarding financial matters
  • Assist with proposed operating and annual budget for approval and adoption by the board
  • Prepare monthly scheduled financial statements and reports for delivery to Board, with complete and accurate reconciled accountings of all funds and accounts
  • Develop effective assessments collections and accounts payable procedures
  • Maintain Association’s fiscal records in accordance with recognized and acceptable standards
  • Perform monthly reserve transfer
  • Manage assets of the Association, maintaining all records and accounts
  • Prepare year end financial statements for accountant and taxes
  • Compile and send out all mailings concerning financial matters

   Maintenance Management


  • Manage and oversee the maintenance for the Association as contemplated in the Association’s governing documents
  • Manage and oversee any maintenance personnel employed by Association
  • Attend monthly meetings with Association’s Board of Directors to address maintenance issues
  • Perform site inspections on a regular basis; report findings to President of Board or designee
  • Document and track all maintenance issues with status and completion reports
  • Report any violations of the Association’s Covenants, Conditions and Restrictions regarding maintenance to the Board of Directors and give notice to responsible owner
  • Guide and advise the Board on known policy issues and act at their direction 
  • Unlimited telephone and e-mail correspondence with Board Members and Owners regarding maintenance issues
  • Promptly investigate accidents and claims for damage; make and file timely report(s) to insurance company
  • Obtain competitive bids and assist Board in selection of vendors, negotiate contracts & oversee work
  • Ensure that all vendors are properly licensed and insured and performing their duties in accordance to specifications and local codes
  • Determine what problems can be repaired in-house and what requires outside assistance
  • Purchase items and supplies necessary to keep the community running normally
  • Comprehensive up-to-date maintenance logs for Board
  • We often get discounts from our known vendors, but never receive kick-backs
  • Purchase materials and supplies as necessary
